Pricing & Revenue Calculators

Set hourly and project prices that cover your real capacity—not just the hours you hope to bill.

Pricing is not only “what the market will bear.” For service businesses, the durable question is whether your rate recovers costs and profit across the hours you can actually bill. Calendar capacity and billable capacity are different. Admin, sales, proposals, and learning eat the week—and if your rate assumes 100% utilization, you undercharge every month that looks “normal.”

Use this category when you are setting or revisiting a freelance hourly rate, quoting a fixed project, checking what you really earned per hour after the work shipped, or measuring utilization (billable ÷ available hours). The tools connect: utilization informs the rate; the rate informs the project quote; effective hourly rate tells you whether the quote was honest after the fact.

Begin with the Utilization Rate Calculator if you do not already know your typical billable share. A sustainable freelancer range is often roughly 60–80% when sales and admin sit inside available hours—your situation may differ. Then open the Hourly Rate Calculator and build a rate from income goals, costs, and that utilization assumption instead of copying a peer’s sticker price.

For scoped work, the Project Pricing Calculator turns estimated hours (and buffers) into a fixed fee you can defend. After delivery, the Effective Hourly Rate Calculator divides what you were paid by hours actually spent. That number is the feedback loop: if effective rate keeps landing below your target hourly rate, either scope, process, or price needs to change.

None of these tools replace judgment about positioning or client fit. They make the arithmetic explicit so you are not guessing whether a “good” rate is actually good for your calendar.

How to choose a tool

  • Setting a rate — Utilization first (if unknown), then Hourly Rate.
  • Quoting a project — Project Pricing, using your target hourly rate as the floor.
  • After the work ships — Effective Hourly Rate to audit what you actually earned.
  • Capacity health — track Utilization weekly so one busy month does not hide a weak quarter.
